How it Works

- Documents are prepared by the customers in special boxes provided by SoftCo which clearly identify the unique document and collection details
- SoftCo Outsource collect the documents at a pre-defined time. All boxes of documentation received are logged in a receivables register and placed in our central secure storage area. Our facility has 24 hour security.
- SoftCo staff prepares all documents prior to scanning (such as removal of staples). The scan operator logs the date and location of the batch of documents about to be scanned into a quality control spreadsheet.
- The batch will then be scanned, indexed based on the agreed fields and reconstructed in the same order and fashion as it was received.
- All documents undergo a separate quality assurance process to ensure the required accuracy levels are achieved.
- In some instances where the documents are customer related, SoftCo Outsource will process the documents directly to the customer.
- The documents and a backup CD containing all the images and index data are returned to the customer.
- SoftCo provides 2 unique options to retrieve the documents:
- As part of the monthly service fee, SoftCo Outsource will install our SoftCo web browser based retrieval engine in the company's location. Documents are uploaded after scanning and can be retrieved by multiple users simultaneously
- SoftCo Secure uses the same powerful technology deployed as an ASP (application service provider) service whereby we manage your documents centrally allowing multiple user secure access over the Internet (see panel)
